Hall Hire
Terms & Conditions
These Terms and Conditions form part of the Hire Agreement between Broad Town Village Hall (“the Village Hall”) and the person or organisation hiring the premises (“the Hirer”).
1. Definitions

Village Hall: Broad Town Village Hall, including all rooms, kitchen, toilets, car park, and grounds as agreed.

Hirer: The individual or organisation named on the booking form who must be over the age of 18yrs.

Event: The activity or activities for which the Village Hall is hired.

Hire Period: The agreed dates and times of use, including set-up and clear-up.
2. Booking and Payment
2.1 A booking is only confirmed once the completed booking has been received and any required monies paid.
2.2 The hire fee must be paid upon booking unless by prior agreement.
2.3 The Village Hall reserves the right to refuse any booking without giving a reason.
3. Use of the Premises
3.1 The Village Hall may only be used for the purpose stated on the booking form.
3.2 The Hirer must not sub-let the premises or any part of them.
3.3 The maximum occupancy (currently 99 persons) stated by the Village Hall must not be exceeded.
3.4 The Hirer is responsible for ensuring that all attendees behave in an orderly manner and comply with these Terms.
4. Care of the Premises
4.1 The Hirer shall take reasonable care of the premises, furniture, equipment, and fittings.
4.2 The premises must be left clean, tidy, and in the condition found.
4.3 Any damage, loss, or breakages must be reported immediately and may be charged to the Hirer.
4.4 Car parking is at the front of the premises, please keep access clear to housing at the ear of the hall, If parking at side of hall then please park against the wall to the right, (as looked at from main road). Do NOT double park in this area.
5. Health and Safety
5.1 The Hirer must comply with all health and safety regulations and instructions provided.
5.2 Fire exits must be kept clear at all times.
5.3 No candles, naked flames, or hazardous substances are permitted without prior written consent.
5.4 The Hirer must ensure adequate supervision, particularly where children or vulnerable persons are present.
6. Insurance and Liability
6.1 The Hirer is responsible for any injury, loss, or damage arising from the Event, except where caused by the Village Hall’s negligence.
6.2 The Hirer may be required to hold appropriate public liability insurance and provide evidence if requested.
6.3 The Village Hall accepts no responsibility for loss or damage to the Hirer’s property or equipment.
7. Alcohol, Music, and Licensing
7.1 The Hirer is responsible for ensuring that all necessary licences (including alcohol sales, live or recorded music, and entertainment) are in place.
7.2 Alcohol may not be sold without the appropriate licence or permission.
7.3 Noise levels must be kept to a reasonable level, particularly during evening hours, to avoid disturbance to neighbours.
8. Smoking and Drugs
8.1 Smoking and vaping are not permitted inside the Village Hall.
8.2 The use, possession, or supply of illegal drugs is strictly prohibited.
9. Cancellations
91 If the Hirer cancels the booking a full/partial refund may be offered at the discretion of the committee.
9.2 The Village Hall may cancel a booking due to circumstances beyond its control. In such cases, any fees paid will be refunded, but no further liability will be accepted.
10. Access and Security
10.1 Access arrangements will be agreed in advance.
10.2 The Hirer is responsible for securing the premises during the Hire Period and ensuring all doors and windows are locked on departure.
11. Compliance with the Law
The Hirer must comply with all relevant legislation, including (but not limited to) health and safety, safeguarding, licensing, and equality laws.
12. Indemnity
The Hirer agrees to indemnify and hold harmless Broad Town Village Hall, its trustees, and volunteers against all claims, costs, and losses arising from the Hirer’s use of the premises.
13. Acceptance of Terms
By proceeding with the booking, the Hirer confirms that they have read, understood, and agree to these Terms and Conditions.
